HubSpot Workflow Automation: Connect Leads to the Right Experts

With HubSpot’s workflow automation, you can auto-assign leads based on their specific queries, ensuring faster responses, better lead experience, and improved team efficiency.

Step 1: Create a Lead Property

Go to Settings in your HubSpot account.

Navigate to Properties.
Click Create Property and set:

Group: Lead Information
Label: Technical Query Detected
Field Type: Dropdown Select

 

Add options for services your company offers (e.g., HubSpot Dev, WordPress Dev, Shopify Dev, HubSpot Integration).

Click Save.

Step 2: Create a Lead-Based Workflow

Go to AutomationWorkflows.

Click Create WorkflowFrom Scratch.

Select Lead-Based Workflow and click Next.

Step 3: Set Enrollment Criteria

Click Set Enrollment Trigger.

Select Lead as the object. Choose Technical Query Detected as the property.

Set “is any of” and select all available technical queries.

Click Save.

Step 4: Add a Branch for Each Query

Click the + button to add an action.

Choose BranchOne property or action output.

Select Technical Query Detected. Enable "Create a separate branch for each value in this property".

 

Click Save.

Step 5: Assign Leads Based on Query Type

For each branch:

Click +CommunicationInternal Communication.

Choose Assign to User or Assign to Team. Assign the lead to the appropriate team member or team lead.

Click Save.

Step 6: Test and Activate Workflow

Click Test Workflow to check if leads are assigned correctly.

If all tests pass, Turn On the workflow.

Now, leads will automatically be assigned to the right team member based on their technical query. 🚀
